What’s new for SharePoint – August 2024

While many of us were taking some well-deserved time off to recharge our batteries, SharePoint and its related applications have been hard at work. As you return to your daily grind, you might be surprised by the new updates that are now available or coming soon.

This month, I want to highlight a set of new features that will elevate Microsoft Lists forms to the next level. These enhancements will make the forms much more usable and could potentially serve as a complete replacement for Microsoft Forms when it comes to collecting information internally.

Additionally, there are exciting updates for Viva Connections. The dashboard continues to evolve with the introduction of new ACE cards, enhancing its functionality and user experience. However, August also brings the bittersweet news of the deprecation of the Feed web part, one of the more distinctive features of Viva Connections.

Bulk data export for OneDrive Sync admin reports

A new Microsoft OneDrive feature allows bulk export of admin reports on device status, including various user and sync details. It’s linked to Microsoft 365 Roadmap ID 88870 and will be available between December 2024 and January 2025. Organizations should enable OneDrive sync reports for data availability.

Feed for Viva Connections web part and Video news link retires starting September 1, 2024

Starting September 1, 2024, Microsoft will retire the Feed for Viva Connections web part and Video news link. By November 5, 2024, support will end, and users are advised to use alternative solutions. Site editors should prepare for these changes and inform users accordingly.

Using Data Access Governance to understand the tenant’s current permission landscape

SharePoint admins can now use Data Access Governance (DAG) to understand their tenant’s current permission landscape and make better decisions regarding applications based on permissions such as Copilot. DAG now provides a report that will reflect the latest state of permissions in the entire tenant and return sites that have a greater count of permissioned users than the SharePoint admin specified number.

Site Access Review offers a way for SharePoint tenants to empower site owners using Data Access Governance

SharePoint admins can use Data Access Governance reports to discover potential oversharing within their tenant. Once discovered, SharePoint admins can now request that site owners review permissions using the specific context of that report from within the report. They can also track all such requests raised from a central location.

This feature will allow operators to add a card for any form/survey created for data collection on the Viva Connections Dashboard for attention and quick action.

News template updates

Microsoft SharePoint is updating News templates to be simpler and support email sharing by default. Rollout starts mid-August 2024 for Targeted Release and late August 2024 for General Availability. No admin action needed, but documentation updates may be required for users.

Connections News Notifications in Gov Clouds

With this release, existing news notifications in Viva Connections will now be available in GCC, GCCH and DoD. News notifications are delivered via Microsoft Teams in the desktop, mobile, and web environments in the following scenarios: News is published to a SharePoint team or communication site a user follows or by someone a user works closely with.

View PDFs with Purview Information Protection sensitivity labels on OneDrive Mobile

With this capability, OneDrive users can open PDF files that are protected with Microsoft Purview Information Protection sensitivity labels and read them using OneDrive mobile apps in read-only mode. Only authorized users will be able to access these PDF files.

New Content AI Rules in SharePoint to set sensitivity labels and retention policy

We are pleased to announce the establishment of two new rules for content AI in SharePoint. These rules can be triggered by a change in column data or the addition of a file to a SharePoint library. They will enable users to apply a retention policy and a sensitivity label, as predefined in Purview, to documents that meet the specified conditions.

Legacy Microsoft SharePoint Invitation Manager settings have retired

The message informs that the Legacy SharePoint Invitation Manager settings have been retired, with the specific setting for guests to sign in with the invited account no longer appearing. The SharePoint Invitation Manager’s retirement doesn’t change product behavior. It recommends using the ‘Anyone’ link sharing setting and provides a link for configuring external sharing. No admin action is required before the rollout.

Updates to Connections on the web

Microsoft Viva Connections will have a new entry point on the SharePoint home site, accessible by default post-release in August-September 2024. Organizations should inform employees and can disable the feature if unprepared. No admin action is required before the rollout.

SharePoint: document processing models will no longer process files if the service is not enabled for the site

SharePoint document models will only process files on enabled sites post-September 2024 rollout. Before, models processed files even if the site was disabled. Changes apply automatically; no admin action needed before rollout. Ensure Syntex service is enabled on sites where processing should continue.

Schedule turning on and off responses to Microsoft Lists forms

List form owners and collaborators can schedule specific dates and times to start and stop accepting responses. The form will be active during the designated period and will automatically stop accepting responses once the scheduled end time is reached.

Be notified about new form responses on Lists

Lists forms users can subscribe to be notified of new responses on their forms. By default, this would be toggled off, but a form collaborator can toggle on and receive an email notification for every new response on that form after.

Microsoft Lists forms will enable users to create dynamic forms featuring branching and conditional logic. This update allows users to customize their forms to display relevant questions based on conditions applied to previous responses, empowering them to design smarter forms that adapt to their data collection needs.

A prebuilt model that uses OCR and AI to detect the primary language of the file, key-value pairs, tables, selection marks, and barcodes. As with other models, it can be configured to extract this information to specified library columns.
